Proofreading Tools
Proofreading is the process of checking a document to identify and correct spelling, grammar and word-choice errors. Word processing software provides tools that make this task faster and help produce clear, accurate and professional documents.
This note covers spelling and grammar checking, the Thesaurus, Find, and Find and Replace in Microsoft Word 2010.
1. Correcting Spelling and Grammar
Word processors can identify possible spelling and grammar errors while a document is being edited. In Microsoft Word 2010, these possible errors are commonly indicated by coloured wavy underlines.
- Red wavy underline: Indicates a possible spelling error.
- Blue wavy underline: Indicates a possible grammar or contextual usage issue.
These markings are suggestions, not proof that a word or sentence is definitely incorrect. A name, technical term or correctly used word may sometimes be flagged, so check the context before accepting a correction.
<ExampleLabel>{=html}Example: Identifying an
error</ExampleLabel>{=html}
In the sentence "She go to the school yesterday.", the verb form is incorrect. Word may underline the sentence to indicate a possible grammar problem. The suitable correction is "She went to the school yesterday."
Correcting a spelling error
- Right-click the underlined word.
- Review the suggested spelling options.
- Select the correct word.
For example, if "scool" is underlined, Word may suggest "school". Select the correct suggestion to replace the misspelled word.
Correcting a grammar error
- Right-click the underlined text.
- Review the grammar suggestions.
- Choose the suggestion that correctly expresses the intended meaning.
Always read the complete sentence after making a correction. The software may not understand the writer's intended meaning in every situation.
2. Thesaurus
A Thesaurus is a tool that provides synonyms---words with similar or related meanings---for a selected word. It helps writers choose suitable vocabulary and avoid unnecessary repetition.
A synonym should be selected according to the context. Words with similar meanings are not always interchangeable in every sentence.
Using the Thesaurus in Microsoft Word 2010
- Select the word for which you need a synonym.
- Open the Review tab.
- Click Thesaurus.
- Review the suggested synonyms in the Thesaurus pane.
- Choose a suitable word and use it where appropriate.
<ExampleLabel>{=html}Example: Finding a
synonym</ExampleLabel>{=html}
If the selected word is happy, the Thesaurus may suggest words such as joyful, cheerful and pleased. Choose the word that best fits the sentence.
Original: "I am happy with the results."
Possible revision: "I am pleased with the results."
The second sentence keeps the general meaning while using a different word.
Key Idea: The Thesaurus helps improve word choice by suggesting synonyms; it does not automatically decide which synonym is correct for a particular sentence.
3. Finding Words
The Find feature searches a document for a particular word or phrase. It is especially useful in long documents because it helps locate information without reading every page.
Steps to find a word in Microsoft Word 2010
- Press Ctrl + F, or go to the Home tab.
- Click Find.
- Type the word or phrase in the Navigation Pane.
- Word displays matching results and highlights occurrences in the document.
<ExampleLabel>{=html}Example: Finding a word in a
report</ExampleLabel>{=html}
Suppose a report contains the word computer many times. Type "computer" in the Find box. Word highlights the matching occurrences and displays results so you can move between them.
The Find feature locates matching text. It does not change the document's content.
4. Find and Replace
The Find and Replace feature searches for a word or phrase and replaces it with another word or phrase. It is useful when the same term appears many times and needs to be changed consistently.
Steps to use Find and Replace in Microsoft Word 2010
- Press Ctrl + H, or open the Home tab and select Replace.
- Enter the word or phrase to search for in Find what.
- Enter the replacement text in Replace with.
- Click Find Next to locate and review an occurrence.
- Click Replace to change the selected occurrence, or Replace All to change all matching occurrences.
Replace changes an occurrence after you review it. Replace All changes every matching occurrence in the document at once.
<ExampleLabel>{=html}Example: Updating a term throughout a
document</ExampleLabel>{=html}
Suppose a document uses the word computer and you need to change it to PC.
- Find what:
computer - Replace with:
PC
Choosing Replace All changes all matching occurrences in one operation.
Before using Replace All, check that the replacement is appropriate in every context. A word may appear in a title, quotation or sentence where a different replacement is needed.
