Word Processing Keyboard Shortcuts (Ctrl + A to Ctrl + Z)

Introduction

Keyboard shortcuts are key combinations that allow users to perform common commands in word processing software without selecting those commands from menus or toolbars. They make document creation, editing, formatting and navigation faster.

In Microsoft Word, many frequently used commands can be performed by holding the Ctrl key and pressing another key. This note covers the common shortcuts from Ctrl + A to Ctrl + Z, together with two navigation shortcuts.

1. What Is a Keyboard Shortcut?

A keyboard shortcut is a combination of keys pressed to perform a particular command quickly.

For example, instead of opening the Home tab and selecting the Copy command, a user can select text and press Ctrl + C.

Most shortcuts in this note use the following method:

Hold down Ctrl
โ†“
Press the required letter key
โ†“
The related command is performed

The exact shortcut behaviour can vary between word-processing applications and versions. The list below follows the Microsoft Word functions shown in the short note.

2. Common Word Processing Shortcuts: Ctrl + A to Ctrl + Z

Ctrl + A to Ctrl + M

Shortcut Function Explanation

Ctrl + A Select all Selects all content in the current document or active area.

Ctrl + B Bold Applies bold formatting to selected text. Press it again to turn the formatting off for subsequently typed or selected text.

Ctrl + C Copy Copies selected text or an object to the Clipboard without removing the original.

Ctrl + D Open Font dialog box Opens the Font dialog box, where font name, style, size and other character formatting can be changed.

Ctrl + E Centre align Centres the current paragraph or selected paragraphs.

Ctrl + F Find Opens the search or navigation feature to locate a word or phrase in the document.

Ctrl + G Go To Opens the Go To function, which can move to a specified page or other document location.

Ctrl + H Find and Replace Opens the Find and Replace feature to search for text and replace it with other text.

Ctrl + I Italic Applies italic formatting to selected text.

Ctrl + J Justify alignment Aligns paragraph text evenly along both the left and right margins, where possible.

Ctrl + K Insert a hyperlink Opens the hyperlink option so a link can be added to selected text or an object.

Ctrl + L Align left Aligns the paragraph with the left margin.

Ctrl + M Indent paragraph Increases the paragraph's left indentation.

Ctrl + N to Ctrl + Z

Shortcut Function Explanation

Ctrl + N Create a new document Opens a new blank document.

Ctrl + O Open a document Opens the dialog or screen used to select an existing document.

Ctrl + P Print Opens the print options for the current document.

Ctrl + Q Remove paragraph Removes paragraph-level formatting formatting from the selected paragraph or paragraphs, returning them to the applicable default paragraph formatting.

Ctrl + R Align right Aligns the paragraph with the right margin.

Ctrl + S Save Saves the current document. If it has not been saved before, the user may be asked to choose a name and location.

Ctrl + T Create a hanging indent Creates a hanging indent, where the first line of a paragraph remains at the margin and following lines are indented.

Ctrl + U Underline Applies underline formatting to selected text.

Ctrl + V Paste Inserts Clipboard content at the current cursor position.

Ctrl + W Close the document Closes the current document. If there are unsaved changes, the application may ask whether to save them.

Ctrl + X Cut Removes selected text or an object and places it on the Clipboard so it can be pasted elsewhere.

Ctrl + Y Redo Repeats an action or restores an action that was undone, when supported.

Ctrl + Z Undo Reverses the most recent action. It can be pressed repeatedly to undo earlier actions.

3. Additional Navigation Shortcuts

The short note also includes two shortcuts that help users move quickly through a document.

Shortcut Function

Ctrl + Home Moves the cursor to the beginning of the document. Ctrl + End Moves the cursor to the end of the document.

These shortcuts are useful when working with long documents because the user does not need to scroll manually from one end to the other.

4. Important Differences Between Similar Shortcuts

Some shortcuts have related purposes but perform different actions. Students should understand these differences rather than memorising only the key combinations.

Cut and Copy

  • Cut (Ctrl + X): Removes the selected content from its current position and places it on the Clipboard.
  • Copy (Ctrl + C): Places a copy of the selected content on the Clipboard while keeping the original in place.

Undo and Redo

  • Undo (Ctrl + Z): Reverses a previous action.
  • Redo (Ctrl + Y): Restores or repeats an action that was undone, depending on the application and context.

Find and Find and Replace

  • Find (Ctrl + F): Locates a word or phrase in a document.
  • Find and Replace (Ctrl + H): Locates text and allows it to be replaced with another word or phrase.

Save and Open

  • Save (Ctrl + S): Stores changes to the current document.
  • Open (Ctrl + O): Opens an existing document.

Text Formatting and Paragraph Formatting

  • Bold (Ctrl + B), Italic (Ctrl + I) and Underline (Ctrl + U) change the appearance of characters or selected text.
  • Align left (Ctrl + L), Centre align (Ctrl + E), Align right (Ctrl + R) and Justify (Ctrl + J) change the alignment of paragraphs.

5. Uses and Benefits of Keyboard Shortcuts

Keyboard shortcuts are useful when creating and managing documents because they:

  • Save time: Common commands can be performed without searching through menus.
  • Improve efficiency: Users can continue typing and editing with fewer interruptions.
  • Support faster formatting: Text can be made bold, italic or underlined quickly.
  • Help with navigation: Users can find words or move to the beginning and end of a document.
  • Simplify document management: New documents can be created, existing documents opened, and files saved or printed quickly.

<ExampleLabel>{=html}Example: Editing a school report</ExampleLabel>{=html}

A student writing a school report can press Ctrl + S to save the work, Ctrl + F to find a word, Ctrl + H to replace a repeated term, and Ctrl + P to open the print options. These commands reduce the need to search through menus for each operation.

6. Exam-Focused Points

Key Idea: A keyboard shortcut is a combination of keys used to perform a command quickly. Many common word-processing shortcuts use Ctrl with another key.

Key Idea: Remember the differences between Cut (Ctrl + X), Copy (Ctrl + C) and Paste (Ctrl + V), as well as Undo (Ctrl + Z) and Redo (Ctrl + Y).

Key Idea: Formatting shortcuts change text or paragraph appearance, while commands such as Save, Open, Print, Find and Go To help manage and navigate documents.

Summary

Keyboard shortcuts allow users to carry out common word-processing tasks quickly by pressing combinations of keys. The Ctrl + A to Ctrl + Z shortcuts include commands for selecting, copying, cutting, pasting, formatting, searching, navigating, saving, opening and printing documents. Ctrl + Home and Ctrl + End help move to the beginning and end of a document. Practising these shortcuts can make document work faster and more efficient.

Note: Shortcut behaviour may differ in LibreOffice Writer and other word processors. Always check the application's shortcut settings or help information when a command behaves differently.
